Dog Rehoming and Administration Assistant

We’re looking for a new member for our small and busy rehoming team. You will help to support the rehoming of our rescue dogs, co-ordinating all aspects of the adoption from first email or phone enquiry from a potential adopter to post-adoption follow ups.

Demonstrable experience of working in an animal re-homing / rescue environment / veterinary practice is a must.
You will have excellent communications skills, work well under pressure and bring a positive can-do attitude to the role. Excellent organisational and computer skills are also essential. We use various platforms including WordPress, Animal Shelter Manager, and E-Tapestry. Knowledge of these platforms is preferred.

Key duties and responsibilities

Rehoming
· Respond to enquiries from the public about dog rehoming by email and phone.
· Shortlist potential adopters for our animals following ADM procedures.
· Co-ordinate viewings with potential adopters.
· Assist with post rehoming support to our adopters and foster carers.
· Liaise with foster carers and provide support.
· Follow procedures for the intake of new animals into ADM care.
· Follow ADM Policies and Procedures with regard to Health and Safety and Data Protection.

Administration
· Uploading dog profiles to the website
· Liaise with vet practices to arrange appointments.
· Enter animal details onto Animal Shelter Manager computer database for incoming and outgoing animals.
· Maintain accurate paper and electronic records to include admission, adoption, behaviour and veterinary information.

Person Specification

Essential
· Experience of working within a demanding environment
· Ability to handle emotive situations with tact, diplomacy and empathy
· Ability to identify issues and come up with effective solutions
· Experience with the use of databases
· Experience of delivering high quality work with minimum supervision
· A flexible approach to managing and prioritising a high workload and multiple tasks
· Experience of positively embracing and adapting to change
· Excellent written and spoken English
· IT literate with good experience of MS Office and other relevant IT systems as appropriate for the role
· Understanding of, and a commitment to the vision, mission and values of ADM

Hours
Monday – Friday (9am-4pm), Full-Time. Including occasional evening/weekend events.
